01. Abstract

GSuite email accounts are by far the best choice to build your own outreach system.

GSuite has a very high IP quality, so your campaigns will have a much better response rate.

We tried setting up our own email servers, but raising its reputation is so hard. It takes months. It's a pain.

With GSuite you don't need servers. You use their servers and their vast pool of clean IPs. It is simple and brilliant. And cost-effective too.

1.1. Some Insights

  • You can manage up to 3 email accounts for each Google Workspace, safely. More than 3 accounts are risky.

  • Google Workspace allows you to send up to 200 emails per day. But I recommend delivering no more than 30.

  • That means, that you will deliver 30 emails/day x 3 accounts = 90 emails/day for each Google Workspace you have configured.

  • Each account costs 6$/month. So you can deliver about 2,700 emails/month for $18.

  • It is cost-effective, and you will have a very high-quality pool of IPs for your outreach.

  • If you are going to outsource the process to your VA, I recommend you grant him/her access to a remote desktop where you can access it. Google uses it to track the location where the account is operating, and if your VA is working from another country you will face some verification challenges when trying to log in yourself. This is not mandatory, but it is a good practice.

1.2. We Made It Simple

Setting up your Google Workspace account may be a bit techie.

There are many tutorials out there, but they are not simple if you do have not any previous technical skills.

In this seminar, we wrote every single button to press, and every single word to write, with screenshots.

It is a procedure manual for non-techies. You can read it as you read a cooking recipe.

The best part: you can share this with your VA, and you will know EXACTLY the work she is doing because this procedure is very SPECIFIC. So, you always have control.

1.3. Additional Notes

  • Even when you are going to handle 3 accounts per Google Workspace account, the first that you created is the Administrator. Many of the tasks that we'll perform in this seminar can be done from the Administrator account only. Keep that in mind.

  • Once inside your Google Workspace account, you may need to change the language. You can do it here: https://myaccount.google.com/language.

02. Buying Domains

2.1. Write some .com domains you think may be available.

Their name is related to the business of our company.

Work with .com domains only. Other extensions like '.xyz` are cheaper, but their reputation is poor.

2.2. Go to NameCheap's domain search.

2.3. Try your list of domain candidates.

  • paste the list of domains in the text box.
  • disable "Show Premium"
  • Setup $10 as the maximum price.
  • Click the Generate button.

2.4. Scroll down and find the available domains.

Click "Add to Cart" for the available domains only.

2.5. After adding domains to the cart, click the "Checkout button".

2.6. Double check you are not paying more than $10 per domain.

On the check-out screen, double check you are not paying more than $10 per domain.

Then, click on "Confirm Order".

2.7. Enter your username and password again.

You may be required to enter your username and password again.

Do it.

2.8. Pay.

You will be asked for the payment method. Ask your team leader for the payment method to use.

2.9. Wait for NameCheap to Finish

NameCheap will need some seconds (or minutes) to allocate your domains.

  • Wait until the "Thak you" page appears.

  • And find the domains purchased there.

03. Signing Up to Google Workspace

For each domain that you purchased on NameCheap, you have to create 1 different Google Workspace account.

3.1. Go to the Google Workspace home page

3.2. Click on the "Start Now" button.

  • It is the blue button in the top-right corner.

3.3. Submit Company Information

  • Write the name of the domain as the Company Name.

  • Choose "from 2 to 9" as the number of employees.

  • Choose "Argentina" as the country.

  • Click on "Next".

3.4. Submit Contact Information

  • Write "Leandro" as the First Name

  • Write "Sardi" as the Last Name

  • Write "mta@expandedventure.com" as the Current Email Address

  • Click on the "Next" button.

3.5. Choose "Yes, I have one I can domain"

  • Then, click on the "Next" button.

3.6. Write your domain in the text box.

  • Then, click on the "Next" button.

3.7. Confirm that you want to use that domain to set up the account.

  • Just click on the "Next" button.

3.8. Don't accept receiving newsletters

  • Just click on "No, thanks".

3.9. Create Your First User

  • Write "leandro.sardi" as the username.

  • Write "SantaAna123" as the password.

  • Resolve the Captcha.

  • Click on the "Agree and continue" button.

04. Initialize Google Workspace Account

4.1. Go to the Google Workspace home

4.2. Click on the Admin console link.

4.3. Write your Email Address

  • Use the credentials you created in the previous section.

  • Click on "Next"

4.3. Write your Password

  • Use the credentials you created in the previous section.

  • Click on "Next"

4.4. Click on "I understand".

05. Verify the Ownership of the Domain

Once you are logged into the Google Workspace account by following the steps in the previous section, follow these steps to prove to Google that you are the owner of the domain.

5.1. Go to the Domain Verification Screen

5.2. Copy "Host record" and "TXT Value" to the Notepad

  • You will need these values later.

5.3. In another tab of your browser, sign in to your account at Namecheap

5.4. Go to your list of domains.

5.5. Find the domain you want to verify.

  • Just write the domain in your text box.

5.6. Click the Manage button next to the domain you're setting up today.

5.7. Click Advanced DNS.

5.8. Click the Add New Record button.

5.9. Fill out the form:

  • Select TXT record from the Type drop-down list.

  • Click the TXT value in the table below to copy the code.

  • Paste the code in the Text field at Namecheap.

  • Click the Save All Changes button at Namecheap, and then come back here and click Protect Domain below.

5.10. Go back to the tab Google Workspace. and click on "Protect Domain".

  • It will take a few seconds for Google to verify the DNS of your domain. Wait for it to finish.

5.11. Double check you see the "Great Job" message.

  • If you don't see it, then you did something wrong.

5.12. Click on "Continue" to finish.

That's all.

06. Creating 2 More Users

You can manage up to 3 email accounts for each domain, safely.

More than 3 accounts are risky.

6.1. Go to the Users Screen

  • Click on the "Continue" button.

6.2. Click on "Add Another User"

6.3. Complete the Form

  • Write "Leandro" in the First Name.

  • Write "Sardi" in the Last Name.

  • Write "leandro.d.sardi" in the Email username.

  • Click on "Save User".

6.4. Repeat steps 2 and 3, with another Email username.

  • Write "Leandro" in the First Name.

  • Write "Sardi" in the Last Name.

  • Write "leandro.daniel.sardi" in the Email username.

  • Click on "Save User".

6.5. Double check you have added 2 new accounts.

6.6. Get the Gmail password for the 2 new accounts.

For each one of the 2 new accounts,

  • Click the Envelop icon.

  • Write the same "Contact email address" that you wrote when you signed up for Google Workspace.

  • Enable "Send Copy to Myself".

  • Click on the "Send" button.

6.7. Open a new tab in your browser, and access the inbox of your "Contact email address" (in this example: mta@expandedventure.com).

6.8. Find the Welcome Emails for the 2 accounts that you created

6.9. Open one of these 2 emails.

6.10. Click the blue button to set up the password.

  • You will be redirected to a new page.

6.11. Click on "I understand"

6.12. Write the password for the new user.

image

6.13. Repeat steps from 8 to 12 for the other user.

6.14. Keep records in your inventory.

  • Use an inventory like this to track the progress and keep records of your accounts.

07. Setting Up MX Record

Setting up an MX record is what Google calls "Activate Gmail".

Set up your domain in NameCheap to get any email sent to your accounts landing in Gmail.

7.1. Go to the "Activate Gmail" Screen

7.2. In another tab of your browser, sign in to your account at Namecheap

7.3. Go to your list of domains.

7.4. Find the domain you want to set up.

  • Just write the domain in your text box.

7.5. Click the Manage button next to the domain you're setting up today.

7.6. Click Advanced DNS.

7.7. Scroll to Mail Settings and select Gmail from the drop-down list.

7.8. Click the Save Changes button.

7.9. Go back to the tab in your browser where you have the Google Workspace wizard.

  • Click on the "Activate Gmail" button, in step 2 of such a wizard.

7.10. Wait for Google to Verify your Domain

  • it may take a few seconds or even minutes.

7.11, Find the "Great job" banner.

  • If you don't see it, then you did something wrong.

  • Click on the "Finish" button.

08. Setting Up SPF Record

The Sender Policy Framework (SPF) is an email-authentication technique that is used to prevent spammers from sending messages on behalf of your domain.

SPF prevents your messages from being marked as spam too.

Setting up SPF for Google Workspace is super easy.

8.1. Sign in to your account at Namecheap

8.2. Go to your list of domains.

8.4. Find the domain you want to set up.

  • Just write the domain in your text box.

8.5. Click the Manage button next to the domain you're setting up today.

8.6. Click Advanced DNS.

8.7. Click the Add New Record button.

8.8. Fill out the form:

  • Select TXT record from the Type drop-down list.

  • Write "@" in the Host column.

  • Write "v=spf1 include:_spf.google.com ~all" in the Value column.

  • Choose "60 min" in the TTL column.

  • Click the Save All Changes button.

8.9. Wait a few minutes to Verify

  • When you update your domain, its configuration is replicated on so many servers worldwide.

  • Such replication may take up to 72 hours, but most of the time it takes no more than a few minutes.

  • Wait 5 minutes before you hop to the next step, where you will double-check that SPF is configured fine for your domain.

8.10. Double-check if SPF is Configured Well

  • On a new tab in your browser, go to this link: https://mxtoolbox.com/SuperTool.aspx.

  • Write your domain in the text box.

  • Choose "SPF Record" from the drop-down list.

  • Click on the orange button with the label "SPF Record Lookup".

  • Find the green banner. Green is good. If you don't see green, then you did something wrong.

09. Setting Up DKIM Record

DKIM (Domain Keys Identified Mail) is a verification technique that prevents the contents of your email is modified by someone before the recipient receives it.

DKIM prevents your messages from being marked as spam too.

Basically, DKIM has 2 "keys".

  • One key is public, and it is in your domain configuration.

  • The other key is private, and it is configured in your GSuite account (nobody can see it)

  • When Google delivers your email, it adds a strange "code" to your content. Such a "code" is the result of a formula performed with your email content (body, subject) and the private key.

  • The recipient, can verify that the "code" matches with the email content by using the public key in your DNS configuration.

  • So clever... right?

Setting up DKIM is a bit techie, but we are making it simple in this tutorial.

9.1. Access "Settings for Gmail" in your Google Workspace account.

9.2. Click on "Authenticate email".

9.3. Click on "Generate New Record".

  • A new popup will be opened.

9.4. Keep default values and click on "Generate".

Note: If you see an error message like the one below, you have to simply wait 72 hours and resume this step then. picture image

9.5. Copy HOST and VALUE To Your Clipboard

9.6. Add TXT Record to Your Domain

  1. Go back to NameCheap.
  2. Manage Your Domain.
  3. Go to "Advanced DNS".
  4. Add a New Record.

9.7. Click On The "Start Authentication" Button

Wait a few minutes.

Click on the "Start Authentication" button, just under the "Generate New Record" button.

If you see a red error button, just wait a 1 more minute, and try again.

Do it until you see the message "DKIM authentication settings updated", and the "Start Authentication" turns to "Stop Automatication".

9.8. Double Check Configuration

  1. Go to MX Toolbox Supertool.
  2. Choose "DKIM Lookup" into the dropdown orange button.
  3. Write google._domainkey.<your domain name here> in the text box, replacing <your domain name here> for the domain that you are working on (example: google._domainkey.leadsdotcom.com).
  4. Click on "DKIM Lookup", and wait for the green banner.

If you don't see the green banner, then you did something wrong. Most probably, you missed any step, or either the host or value in the domain configuration is wrong.

10. Setting Up DMARC Records

DMARC (Domain-based Message Authentication Reporting and Conformance) tells receiving mail servers what to do when they get a message that appears to be from your organization but doesn't pass authentication checks like SPF, or DKIM.

10.1. Add TXT Record to Your Domain

  1. Go back to NameCheap.
  2. Manage Your Domain.
  3. Go to "Advanced DNS".
  4. Add a New Record:
  • HOST: _dmarc

  • VALUE: v=DMARC1; p=none; rua=mailto:mta@expandedventure.com

10.2. Double Check Configuration

  1. Go to MX Toolbox Supertool.
  2. Choose "DMARC Lookup" into the dropdown orange button.
  3. Write your domain name in the text box (example: leadsdotcom.com).
  4. Click on "DMARC Lookup", and wait for the green banner.

If you don't see the green banner, then you did something wrong. Most probably, you missed any step, or either the host or value in the domain configuration is wrong.

11. Warming Up Accounts

Congratulations. You have configured your own Outreach System.

Can you start running cold email campaigns?

No yet.

Before your start sending cold emails you must warm your accounts for 2 weeks as a minimum.
